This guide will walk you through how Notifi streamlines your workflow—from customer contact to invoicing, and beyond.
🚀 Initial Setup
Online Payments (Desktop Only)
Enable online payments (credit card, ACH, etc.) by connecting Stripe:
Go to Settings > Connections (General Settings) > Connect Stripe
Taxes
Go to Settings > Tax Details (General Settings) > New Tax
(Optional) Group multiple taxes together using + New Group Tax
Call Flow, Missed Call Text & Voicemail
Go to Settings > Call Flow (General Settings) and configure your preferences
Pricebook
Add your service items to the Pricebook for quick quoting and invoicing
📞 Talking to Customers
Customers will call and text you directly through Notifi. Here’s how to get started:
Find Your Notifi Phone Number
Settings panel from the left, or tap the top-left circle (on mobile)
Test Your Setup
Make a test call from another phone
Ensure Notifi has microphone access
Adding Contacts
From the Home Page: Tap the “+” button
From Call Logs or Inbox: Add contacts directly, just like on a cellphone
Mobile:
In the Inbox, open a conversation and tap the number at the top of the screen to add as a contact
Or, in Calls, tap the “i” icon beside a number to save it
Desktop:
In the Inbox, click the number you want to add
Press the Edit symbol on the right of the Name field
Contacts can also be added from Call Logs
💡 Tip: Always include an address for each contact. This makes it easier to create jobs and navigate using Maps.
⚙️ Executing Workflows
Notifi is flexible—you can start a workflow from any point. Here are two common approaches:
1. Starting with an Estimate
From the Contact page or Inbox, press + > Create Estimate
Build out your estimate and Send
When approved, click the estimate and Convert to Job
Access jobs via the Calendar or Settings Panel
Once the job is completed, click Convert to turn line items into an Invoice
✅ Check Allow Online Payment to enable credit card or ACH payments
2. Scheduling a Diagnostic/Estimate Appointment
From the Contact page or Inbox, press + > Create Job
After your assessment, add line items to build an estimate
Convert items into an Estimate or Invoice
Add a new visit, or convert the Estimate into a new Job
When the job is completed, convert items into an Invoice
💡 Pro Tip:
After completing a job, press the More button (3 dots) on the job (or from the Inbox) to send a review request.
Confirm the customer is happy, and consider offering a small discount before invoicing as an incentive
